Why employers need a VMS

Agency networks break when contracts, rates and compliance live in different places

Most companies already have preferred agencies. The gap is running them as one vendor programme - with clear commercial terms, auditable compliance and a single view of performance.

  • Vendors spread across inboxes

Existing and new agencies sit in separate threads, folders and shared drives, so nobody owns the full supplier list.

  • Inconsistent rate cards

Fees and commercial terms differ by agency, region and role, which makes spend hard to compare and even harder to control.

  • Compliance you cannot evidence

Registrations, privacy policies and the insurance documents you require from agencies are hard to prove when an audit arrives.

  • Workforce admin without a system

Onboarding, renewals, offboarding and vendor reporting stay manual, so contingent workforce visibility arrives too late.

One vendor management workspace for every staffing agency you use.Onboarding, contracts, rate cards, compliance and payment sit in one vendor record.

How vendor management works

Onboard, manage and offboard agencies in one lifecycle

A clear path for every staffing vendor - from first check to day-to-day management and a clean exit.

  1. 1

    Onboard

Screen the agency, collect compliance documents, agree rate cards and get contracts signed before work starts.

  2. 2

    Manage

Run renewals, extensions, payments and vendor reporting while you keep commercial terms and compliance current.

  3. 3

    Offboard

Close access, archive signed agreements and end commercial terms when a vendor leaves your programme.

Onboard
Manage
  • Vendor onboarding and offboarding

Vet new agencies, bring the ones you already use, and offboard them in the same record.

  • Signed contracts and full lifecycle

Send, sign and store terms, with renewals in one place.

  • Rate cards and commercial terms

You set the fees: global, by region, or by role.

  • Compliance and insurance documents

Registration, privacy policy, ICO and insurance, stored for an audit.

  • Consolidated payment

Agency invoices settle in one payment run.

  • Workforce and vendor reporting

Quality, spend and fill-rate, by agency.

Agency screening

How agencies are checked before they work with you

Every agency in the network goes through the same checks when it registers and onboards.

  • Each agency gives its company registration number when it registers, so the business can be verified.
  • During onboarding, RAMP asks for a copy of the agency's privacy policy.
  • RAMP checks that the agency is registered with the ICO, the UK data protection regulator.

Ensure 100% visibility and compliance across your entire agency supply chain.

FAQ

Questions about vendor management

FAQs
How do you onboard new staffing agencies and what is the screening process?

When onboarding new agencies, RAMP runs a screening process for compliance and reliability: company registration number at registration, a copy of the privacy policy during onboarding, and a check that the agency is registered with the ICO.

Will we retain ownership of agency fees and rates?

Yes. Employers keep complete control of the agency fees and rates agreed with agencies. These can be set on a global, regional or job level. RAMP can also suggest competitive fees and rates when you post a role.

Can I bring my existing agencies into the VMS?

Yes. During onboarding you can add agencies you already work with. They go through an expedited vetting process and are approved to work with you. You can also refer new agencies and RAMP will onboard them on your behalf.

What visibility do I get across my agency supply chain?

You manage signed contracts, rate cards, compliance documents, consolidated payment and vendor reporting in one place, with 100% visibility and compliance across your agency supply chain.
